SUPTS. MEMO. NO. 68
March 31, 2000 |
| TO: | Division Superintendents |
| FROM: | JoLynne DeMary Acting Superintendent of Public Instruction |
| SUBJECT: | 1999-2000 Annual School Report - Statistical Section |
The statistical section of the Annual School Report for the 1999-2000 school year has been revised to include truancy data mandated by the 1999 General Assembly and the summer 2000 average daily attendance data. Changes in the statistical section of the Annual School Report are the following: (1) Division Level Summary Report of Truancy Counts. The number of students with whom a conference was scheduled after the student had accumulated six absences will be requested (see Info. Supts. Memo No. 185 dated October 8, 1999). The count is requested by grade and by general and special education breakdowns at the division level. (2) Division Level Report of Summer School Average Daily Attendance. The aggregate days attendance (days present) and the average daily attendance (ADA) will be requested for the summer term, 2000, at the division level. The counts were collected in previous years as separate data, however beginning with the 1999-2000 school year, the counts will be included as part of the Statistical section of the Annual School Report. (3) Ungraded Students Reported for the Promotions/Retentions (End-of-Year Membership) Data. Beginning with the September 30 fall membership reporting for the 1999-2000 school year, school divisions were requested to report students with disabilities and students in alternative education programs by grade level if possible (see Admin. Supts. Memo No. 77 dated September 3, 1999). Students reported by grade level on the fall membership report should also be reported by the same grade level for the promotions/retentions (end-of-year membership) data. Sample copies of the Report of Truancy Counts and Report of Summer School Average Daily Attendance, Summer 2000 workbook pages are included. The 1999-2000 Annual School Report - Statistical Section is due on September 15, 2000. Earlier submissions are encouraged. The data for the statistical section of the Annual School Report should be submitted to the Office of Management Information Systems either in the Excel spreadsheet or ASCII flat file format. Final spreadsheets, file layouts, detailed instructions and a list of edit procedures will be sent to division superintendents and posted on the Department of Education's Website in May 2000. Questions relating to the Annual School Report - Statistical Section should be directed to Janet Christopher or Mona Mallory at (804) 225-2099. JLD/dmb Attachment
