SUPTS. MEMO NO. 44
August 31, 2001

ADMINISTRATIVE

TO: Division Superintendents
FROM: Jo Lynne DeMary
Superintendent of Public Instruction
SUBJECT: Report of Dropouts, 2000-2001 School Year

In order for the Department of Education to meet commonwealth legislative reporting requirements, the 2000-2001 Report of Dropouts must be completed for certain schools in your division. Completed reports should be e-mailed to dropouts@pen.k12.va.us no later than Monday, October 15, 2001.

All schools that had membership in grades 7 through 12 must submit the dropout report. The dropout report should not be completed for vocational, technical, special education, or alternative education centers providing specialized instruction to students officially enrolled at other schools.

The 2000-2001 Report of Dropouts has been revised to include changes to make Virginia’s dropout reporting practices conform to federal dropout definitions and reporting procedures. Summer 2000 dropouts should be reported as dropouts for the grade and school for which they failed to report by October 1, 2000.

A custom-designed dropout spreadsheet and instructions can be downloaded from the Department of Education's Web site at http://www.pen.k12.va.us by selecting "Reports" at the top of the homepage or "Data and Publications" at the bottom and then selecting "Report of Dropouts 2000-01." The complete address is: http://www.pen.k12.va.us/VDOE/Publications/Dropouts/datacoll/coll.htm to access the dropout spreadsheet. Detailed instructions for completing the dropout report and the ASCII file layout are attached. The dropout report should be completed using either the Excel spreadsheet or the ASCII flat file format and submitted to dropouts@pen.k12.va.us by October 15, 2001.

Information is required about the central office contact person who can answer questions regarding the 2000-2001 Report of Dropouts for all schools. In the Excel spreadsheet, contact information is requested on the first worksheet.

The statistics on dropouts will be made available to the Virginia General Assembly, and the information will be included in the School Performance Report Card in October 2002. Because of the short period of time we have to process and publish dropout statistics, any reports received before the due date will be sincerely appreciated.

Please direct any questions or comments regarding the Report of Dropouts to dropouts@pen.k12.va.us or to Data Administration staff at (804) 225-2099.
