End-of-Year Reports for Career and

Technical Education

 

This memorandum provides information on the end-of-year reports for career and technical education. The 2002-2003 Completer Demographics Report and the Secondary Student Enrollment Report for career and technical education are due June 30, 2003.

 

The Department of Education mailed all division career and technical education administrators a 2002-2003 Users Manual in August 2002. This manual includes the directions for completing career and technical education reports and the due dates of reports.

 

The Secondary Student Enrollment Report, more commonly called the CTERS 2 report, is the unduplicated enrollment report for grades 9-12. The data are used for several purposes including a federal reporting requirement.

 

The Completer Demographics Report data are critical to the Department of Education because the information is used to calculate performance for Occupational Competence, Secondary School Completion, Nontraditional Completion, and Diploma Seals. Additionally, the data will be used to conduct the 2004 follow-up of the 2003 completers.

 

Both the CTERS 2 and the Completer Demographics reports must be submitted electronically (cters@pen.k12.va.us), either in Excel spreadsheet or ASCII flat file format as defined in the users manual. Even though these reports are due on the same day, they can be submitted separately.

 

Custom-designed spreadsheets and detailed instructions for completing the reports can be downloaded from the Department of Educations website. On this page choose Users Manual for the instructions; for the customized spreadsheets choose Secondary Student Enrollment Report and Demographics Template.

 

A file layout is included in the instructions for school divisions that prefer to submit the data as an ASCII flat file.

While early submission is strongly encouraged, an extension for either report can be granted by sending an e-mail request to Ms. Williams.
