SUPTS. MEMO NO. 41

July 25, 2003

ADMINISTRATIVE

TO:

Division Superintendents

FROM:

Jo Lynne DeMary

Superintendent of Public Instruction

SUBJECT:

2002-03 End-of-Year Student Records Data Collection and Miscellaneous Statistics

To comply with the information and reporting requirements for adequate yearly progress, report cards, and performance indicators of the No Child Left Behind Act of 2001 (NCLB), the Department of Education is implementing a new Student Records Data Collection beginning with the end-of-year reporting for the 2002-2003 school year. The end-of-year data collection will replace the Annual School Report Statistical Section, Report of Graduates, and major portions of the Report of Dropouts. Supts. Informational Memo No. 94, dated July 19, 2002, notified school divisions that data requirements would be maintained at http://www.pen.k12.va.us/VDOE/Publications/NCLB/NCLB.html to assist them in planning for NCLB requirements. Supts. Informational Memo No. 75, dated May 2, 2003, included specific information regarding the student record collection, reporting timeframes, and the reports that were being replaced by this collection.

The 2002-03 End-of-Year Student Records Data Collection (STUDENT_EOY) should reflect students records as of the last day of the 2002-03 school year and summer school graduate information. The end-of-year collection also includes a Web-based entry form to collect miscellaneous aggregate statistics regarding the number of days each school was in session and summer school attendance.

A detailed listing of the data elements on the student record, the aggregate data collected on the Web-based form, and instructions for completing and submitting the data can be found on the Virginia Department of Educations website at http://www.pen.k12.va.us/VDOE/Publications/student-eoy/datacoll/coll.htm. Training sessions have been held in each of the eight regions (Supts. Informational Memo No. 107).

Data are required by the Department of Education on or before Monday, September 15, 2003. Early submission is strongly encouraged. School divisions may begin submitting test data through the Web-based submission process on August 15, 2003.

Questions or comments relating to the 2002-03 End-of-Year Student Records Data Collection should be directed to Data Administration at dataAdm@mail.vak12ed.edu or (804) 225-2099.
