SUPTS. MEMO NO. 5

February 4, 2005

ADMINISTRATIVE

TO:

Division Superintendents

FROM:

Jo Lynne DeMary

Superintendent of Public Instruction

SUBJECT:

Web-Based Pupil Transportation Report

In the past, Pupil Transportation data have been collected through an excel spreadsheet. This data has included information on all school buses being used in the school division, number of students transported, miles covered, and cost. In order to simplify the reporting of this information, a new Web-based system has been developed.

Data must be submitted electronically using the reporting template provided. Individuals who will be entering this data will need to contact the SSWS Account Manager for their school division to obtain a password. A copy of the manual explaining this reporting system is on the DOE website under Pupil Transportation and is also included as Attachment A.

The information requested on this Web-based system is as follows:

1.              Bus description information This includes data to identify all school buses used to transport students to and from school.

2.              Total miles traveled during the 2003-04 school year by type of travel. (Regular day, exclusive, deadhead, activity trips, etc.)

3.              Student count for regular and exclusive transportation and the number of capital replacement buses purchased.

If desired, the system will automatically calculate a cost for each of the types of travel for pupil transportation, or this may be done manually. Reports can be generated after all data have been loaded.

The report must be completed and a copy of the signed superintendents certification form should be mailed to June Eanes, director of support services, Virginia Department of Education, P. O. Box 2120, Richmond, Virginia 23218-2120 no later than March 4, 2005.

Questions concerning this data collection should be addressed to June Eanes at (804) 225-2037.
