SUBJECT:

Program and Student Data Collection for Limited English Proficient (LEP) High School Students

 

The purpose of this memorandum is to request data regarding high school LEP students who were enrolled and served during the 2005-2006 school year as required by Chapter 526, 2006 Acts of Assembly.

 

The bill requires the Virginia Board of Education to collect and analyze data related to Virginia's LEP students and school division programs. Listed below is a link to the bill: http://leg1.state.va.us/cgi-bin/legp504.exe?061+ful+SB683S1

 

To ensure accuracy in reporting, a Web-based application has been developed. The Web-based survey contains two parts: 1) a division-level program survey to obtain information about programs and services available to LEP students, and 2) a student-level survey to obtain information on individual LEP students. The data collected will be supplemented with data available at the Department of Education to meet the requirements of the study, as prescribed by the General Assembly.

 

Both surveys will be available electronically on August 18, 2006. Detailed directions for completion are located at the website below: https://eb01.vak12ed.edu/ssws. The deadline for submission of the division level survey is September 15, 2006.

 

The deadline for the submission of the individual student data survey is November 1, 2006. For this survey, the Department has randomly selected thirty percent of the states LEP high school students enrolled during the 2005-2006 school year. The website includes a file that contains a list of unique student identifiers that specifies the students to be included in the data collection. School divisions should provide data for these students only.

 

Users completing the survey may need to request access from their divisionwide Single Sign-on for Web Systems (SSWS) administrator. The SSWS administrators contact list is located on the Virginia Department of Educations website at http://hp03.vak12ed.edu/cgi-bin/broker?_service=doe_staff&applic_type_id=26&_program=stafcode.application_type_3.sas.
