SUBJECT:

Adult Education and Family Literacy - Adult Basic Education Grant Available in OMEGA

 

We are pleased to announce that, effective January 3, 2008, reimbursement requests and object code budget transfers may be submitted via the Virginia Department of Educations Online Management of Education Grant Awards (OMEGA) system for the following grant:

 

         Adult Education and Family Literacy Adult Basic Education (ABE) Grant (CFDA# 84.002)

 

Only divisions responsible for submitting reimbursement requests and object code budget transfers to the Department need to submit OMEGA user setup forms for this grant. OMEGA user setup forms with instructions, a detailed Users Guide, and access to recorded online training sessions are available at http://www.doe.virginia.gov/VDOE/omega/.

 

The completed user setup forms should be mailed to the following address by November 30, 2007:

A minimum of two user permission forms must be submitted by each school division responsible for submitting reimbursement requests and object code budget transfers to the Department because someone other than the transaction originator is required to approve each request before it is submitted to the Department of Education. The Department has established an approval queue with a requirement of one Level 3 Approver for each type of request. The number of required local approvals for any approval level may be increased by the local OMEGA maintenance user before any transactions are input, or at any time when there are no active requests. Please refer to the online instructions referenced above for assistance with establishing your school divisions approval queue.

 

To assist with the transition to OMEGA, training will be provided during the Annual Program Managers Meeting held November 8 and 9. One training session will be conducted for those responsible for data entry into OMEGA. A separate training session will be held for those with overview or approval responsibility.

 

It is expected that paper copies of reimbursement and object code budget transfer requests for the Adult Education and Family Literacy - ABE grant will not be accepted after February 29, 2008.

 

As additional grants become available for reimbursement through OMEGA, you will be notified by superintendents memorandum. Your divisions input regarding the operation of the OMEGA system continues to be greatly appreciated. If you have any questions or concerns, please contact Marie G.
