What do I do if my division’s contact information is wrong in the Educational Directories of the VDOE website?
Using the Educational Registry Application (ERA) in SSWS, check the Staff Details for those staff members with incorrect contact information. The EA Central Office Staff Flag is what is used to denote who should be listed in the Educational Directories on the VDOE website. The information provided in SSWS under the following fields will be used for the Educational Directories: Prefix, First Name, Last Name, Suffix, Job Title, Email, and Phone Number.
What is the High-Quality Professional Development Flag in the B Record of the Master Schedule Collection?
High-quality professional development is training for staff (teachers, administrators, etc.) that includes rich content to heighten the skills of school professionals. Under HOUSSE, school personnel are required to have 30 hours of high-quality professional development a year. This can be comprised of training, homework, and follow-up sessions, as well as shorter sessions that can be added up to meet the requirement. The High-Quality Professional Development Flag in the B Record is marked “Y” if the teacher has completed the 30 hours of training in the previous school year. This flag should not be confused with the Highly Qualified Code in the D Record. The Highly Qualified Code is marked “Y” if a teacher is properly licensed and endorsed to teach the content that he/she is teaching.
SSWS Account Managers should use the Update Permissions button on the Staff Information screen to assign application permissions to individual staff members. Find the application needed and check the privileges the individual needs.
The Application Contacts and Point of Contact should also be updated as VDOE uses the Application Contacts and Point of Contact lists for official correspondence to school divisions.
Since I do not have a successful EOY submission, is it okay to report a summer graduate on the EOY SRC?
The End-of-Year submission should only include student records up through the last day of school. Therefore, you cannot report summer graduates on the EOY SRC. Students that graduate during a summer session are to be reported on the Summer SRC.
If divisions do not have any summer graduates to report, a summer file submission is still required. Divisions should submit a file with an “A” record and a record count.
