SUBJECT:	2001 Fall Membership Data Collection

Enclosed is information on the 2001 Fall Membership data collection. The collection includes the following tables:

Fall Membership as of September 30, 2001, (Reports by school to include membership by grades for prekindergarten, kindergarten through 12, ungraded/LTP (Literacy Testing Program) and postgraduate)

Actual and Projection of March 31 Average Daily Membership for School Years 2000-2001, 2001-2002,

2002-2003 and 2003-2004

Full and Half-Day Kindergarten Membership, Membership and Number of Sections Taught for English Classes, grades 6-12: Standards of Quality No.1-G, Instructional Personnel, 2001-2002
Number of Students Receiving Home Instruction, as of September 30, 2001
Number of Immigrant Students by Division as of September 30, 2001
Number of Limited English Proficient Students by Division as of September 30, 2001
Number of Refugee Students by Division as of September 30, 2001

All data must be submitted to the Department of Education on or before Monday, October 15, 2001. Early submission is strongly encouraged. Fall membership data are critical to the revision of ADM estimates and are needed to finalize the state budget submitted by the Governor. The November budget deadline necessitates a very aggressive timeline for the fall membership report.

The fall membership report must be submitted electronically, either in the Excel spreadsheet or ASCII flat file format.

A custom-designed fall membership spreadsheet and detailed instructions for completing the report can be downloaded from the Department of Education’s website at www.pen.k12.va.us by selecting "Reports" at the top of the homepage or "Data and Publications" at the bottom and then selecting "Fall Membership Report 2001-2002" from the "Data Collections" listing. File layouts are included in the instructions for school divisions that prefer to submit the fall membership data as an ASCII flat file. The format for the ASCII flat file layout has been revised.

Information on the contact person for the 2001-2002 fall membership report is required. Updates for the Fall Membership contact will be reported in Phase II of the School and Staff Administration Report that will be completed in mid-September.

Each contact person for the Fall Membership Report should coordinate the collection of all data for the division and submit the data by e-mail to fallmemb@pen.k12.va.us by the due date.
